About the customer

Our customer is a U.S.-based healthcare staffing firm supporting hospitals and healthcare facilities nationwide. The firm engages, assigns and manages contingent nurses and allied healthcare workers deployed across the U.S.

Customer challenges

Before ZuraTM, like many healthcare staffing organizations, the customer faced significant challenges every payroll cycle. Payroll processing was largely manual and had to accommodate complex, variable pay rules, shift differentials, on-call pay, and multiple departmental assignments within the same pay period or even a single shift.

This was compounded by persistent problems with the timely collection and validation of inbound timesheets. Submissions arrived as handwritten paper forms, VMS spreadsheet exports, PDFs and mobile phone images, often with illegible handwriting, poor image quality, duplicates or missing information.

Each exception required manual review, clarification and rework. Accounting and payroll teams spent extensive hours reconciling data to prevent payroll errors and billing disputes, while recruiters and account managers were diverted from their core work to chase missing or corrected timesheets.

The ZuraTM solution

The customer selected ZuraTM, a suite of intelligent standard and customized payroll software agents designed to replace manual workflows with intelligent automation.

ZuraTM integrated with the customer’s existing reporting, payroll and accounting systems, streamlining the entire process, from timesheet collection and validation through payroll processing and invoicing handoff. The organization reduced the staff time dedicated to multi-day, manual payroll operations while significantly improving accuracy, consistency and reliability.

ZuraTM’s automated notification module also eliminated manually created outbound texts and emails. Employees are now notified automatically when timesheets are received, missing or unreadable, further reducing administrative effort and accelerating payroll readiness.

The future and the ZuraTM advantage

Throughout implementation and continuously in production, ZuraTM’s payroll automation agents learned, adapted and improved with every payroll cycle, progressively enhancing their ability to read, interpret and validate timesheet data regardless of format or complexity.

As patterns and exceptions were identified, ZuraTM dynamically refined payroll and billing calculations, accurately applying shift differentials and adjusting credited hours as rules evolve. The machine-learning components also strengthened end-to-end payroll and invoicing verification, reducing errors before data is handed off downstream.

Over time, this continuous learning results in faster processing, fewer exceptions and increasing accuracy, compounding value with each payroll run.
